Note: Changes are applied at next login
After assigning role(s) to users and/or groups, users must log out and back in to HelloID for the changes to take effect.
Introduction
To get started, go to Security > Roles to open the Roles Overview.
Create a new role
- Select the Create Role button.
- On the General tab, enter a Name and Description for the role. An Enabled role applies its rights to its associated users/groups; a disabled role does nothing. The Default toggle will apply this role to every new user created in HelloID.
- Select the Rights tab.
- Turn on the toggle(s) for the right(s) you wish to associate with this role. In this example, we've added all the Reporting rights. You can also select the All rights or No rights buttons to turn all toggles on or off, respectively.
- Select the Save button to confirm.
The next step is to assign your newly created role to users and/or groups.
Edit a role
- Select the Edit link for the role you wish to edit.
- Follow the instructions in the above section, Create a new role.
- Select the Save button to confirm.
Assign a role to users and/or groups
- Select the Users or Groups link for the role you wish to assign. For this example, we will assign a role to users, but the process is the same for groups. Note that when you assign a role to a group, its rights are applied to all users and groups inside that group.
- Select the Add Users button.
- Here, you have two choices. Either select the Add All Users button to add all users in HelloID, or individually select users and then select the Add Selection button. For this example, we will do the latter.
- The role and its associated rights have now been assigned to the selected users.
Remove a role from users and/or groups
- Select the Users or Groups link for the role you wish to remove. For this example, we will remove a role from users, but the process is the same for groups.
- Here, you have two choices. Either select the Remove All Users button to remove the role from all its associated users, or individually select users and then select the Remove Selection button. For this example, we will do the latter.
- The role has now been removed from the selected users.
Clone a role
- Select the Clone link for the role you wish to copy.
- You are taken to the new role screen, but with the role's options and rights pre-filled from the cloned role. Select the Save button to confirm if no changes are needed. If changes are needed, follow the instructions in the Create a new role section, above.
Delete a role
- Select the Delete link for the role you wish to delete.
- Review any warnings, and then select the Delete button to confirm.
