Hello and welcome to this HelloID Service Automation product release video for January 2020.
HelloID Service Automation is an User Management Self Service solution designed to delegate user management into the organisation. For example Delegate group management, Delegate distribution group management, delegate share management. It will help ICT departments to Prevent accumulation of licenses and access rights.
In this video I first I’d like to start with a PowerPoint presentation and then demo you the new functionalities.
We have a couple of new items and the first one is that you now have the ability to select an agent pool on the delegated form action, so particular for larger networks you can set in what network segment the task needs to be executed.
We also have the option now to search in a grid, so suppose you have a lot of items in a grid, now you can search for an item.
This is a smaller one, now in the Global variables there are two new variables for date and time and that will give you the current date and time.
Another smaller option is that you can rename a task on a delegated form, it was always the default name of the task and now you can rename it. It’s particularly interesting if you have a PowerShell as the task.
You now also have the option to hide elements from the product request summary. This makes it easier for the end user, suppose there are a lot of components on the form. Now you can hide most of them and only show the most relevant ones.
The last option is that you have the ‘show password’ icon in the password element, it makes it easier for the end user to see what new password he has or is about to create.
Select an agent pool on the delegated form
So let me demo this new functionality to you. Let me start with the first one, that you can select an agent pool on the delegated form. Go to the delegated form, let me search for group management, there we go. It’s relatively simple, you can select here the directory configuration and in the directory configuration, that is here, you can set the agent. So, in ‘direct’ you can select the right network segment via selecting the active directory or the directory configuration.
Search in grid
The next one is to search in grid. So now I will create a new form, go to self-service, forms, new entry, new grid box and this is the new option to search in the grid. By turning it on I can actually search in the data that I will show, let me use the HelloID groups as an example, and now I can start searching in the group and it will only show the entries that match the search string.
Change the name of the action
The next item is that you can change the name of the action that is being executed after submitting the form. So I will go to delegated forms, search for an example, and here you can change the task name to a more descriptive name. Now this is PowerShell script, but I can make it any name I like and it will easily be recognized in the request history.
Selecting what information is visible in the product request summary
Next item is selecting what information I like to show in the product request summary. First I’d like to show the end result, so if I go to the service desk and I deactivate an account, I can search for a user, select the user and I can deactivate the account. It used to summarize all the elements, also the elements that were not relevant, and this is a much cleaner summary. Instead of showing all elements you only see 2.
Let me show you how you change this. Go to the form, ‘activate’, and here you have the new option. If you say I want to hide the element, or I want to hide the value, or I want to show everything on the element, now it’s turned off and it’s not being shown in the summary.
The last item I’d like to show you is the password icon. I’ll search for the same user. Here you have it so by default it’s hidden and now you can toggle it on and off.
