Note: Servicedesk access needs to be enabled
In order for end users to access their delegated forms, they must be granted Servicedesk access.
HelloID's Delegated Forms allow you to assign traditional helpdesk tasks to members of your organization. For example, each department manager may be given the ability to reset their employees' passwords, resulting in fewer password reset calls to the helpdesk.
To get started with delegated forms, navigate to Delegation > Delegated Forms on the HelloID Administrator Dashboard.
Create a Delegated Form
In this example, we'll be creating a delegated form that will allow department managers to reset their employees' passwords. This should result in a drop in password reset calls to the IT helpdesk.
- Click Create Delegated Form to bring up the form catalog.
- Click the Add button next to the Reset Password form.
- You are then taken to the form wizard. The General tab presents you with several fields to configure.
The name of the form, shown in the Delegated Forms Overview.
The URL slug that will be used to access the form. Click on the wand icon to automatically regenerate the slug based on the provided Name.
- Directory configuration
The directory configuration to use when launching actions associated with the form, such as resetting a password. Learn more about directory configurations here.
- Get managed users
Enabling this option will return a list of users who are managed by the user who is accessing the delegated form. This option is not compatible with Get users from defined groups.
- Get users from defined groups
Enabling this option will return a list of users who are members of the groups that you specify. This option is not compatible with Get managed users.
Enable or disable this form. Disabled forms are not published to the HelloID User Dashboard.
- Use FA icon
Enabling this option will allow you to choose an icon for the form from the Font Awesome library. Disabling it will allow you to supply your own custom icon.
Choose an icon for the form from the Font Awesome library or upload your own icon.
- On the Groups tab, you may select one or more groups of HelloID users that will be able to access and use the delegated form. Select the group(s) that you want, and click the Save button. In this example, we have a group called Managers.
Access Delegated Forms
Users who have the Servicedesk permission in HelloID will be able to see their delegated forms on the HelloID User Dashboard. In this example, a manager is able to see the Reset Employee Passwords form that we created earlier.
After accessing the form, the user may select from a list of users (in this example, a list of direct reports). Once a user is selected, a new password may be provided for their account.
