Person records in HelloID are created based on personnel data imported from source systems. One person record corresponds to one real-world human being. Within that record may be basic demographic information, extended employment information, and possibly more depending on your provisioning needs. The information within Persons records is used to drive the provisioning process, via business rules and rule conditions that grant the appropriate entitlements through the enforcement process.
This area allows you to see what information is included in each Person record, along with which business rules and entitlements apply to them, as well as each record's audit history.
The Persons Overview
From the Provisioning dashboard, you can select the Persons icon, or its corresponding link in the navigation. This will take you to the Persons Overview. The overview is broken out into the following sections.
This is an alphabetical list of all person records within HelloID. You may use the search bar to look for a particular record by any value in their display name. Once you select a record from the list, the Details pane is updated with information about the selected person.
Within this pane, you can see a myriad of information about the selected person. Several tabs along the top of the pane break the person's information out into sections.
This tab gives you general demographic and contact information about the selected Person, along with their employment contracts. Select a Person's Exclude button to exclude them from evaluations and enforcements.
The Contracts tab displays all of the employment contracts that are tied to a person from their source record. Here, you can see their start and end dates, department information, manager, and more.
The Rules tab allows you to see which business rules apply to the selected person. Business rules are used to grant entitlements, such as accounts and permissions, to qualifying users. From this view, you may also edit a business rule by clicking on the corresponding wrench icon.
Within this tab, you can see what entitlements have been granted to the selected Person as a result of their applicable business rules. You may reapply an entitlement—for example, if it is in an errored state—by clicking on the entitlements retry button (circular arrow).
Entitlements granted by dynamic permissions
If a dynamic permission has granted an entitlement to a Person, select its grid button to view the specific variation(s) of the granted entitlement:
The Accounts tab displays all of the accounts that have been granted to the selected user. Any attributes that have been marked for export from those systems are also displayed.
The Audit Logs tab lets you see what actions HelloID has taken on the selected person. The results here may be searched or filtered so as to find specific information.
Export a report
Select the Export button on the Persons list, Entitlements tab, or Audit Logs tab to download a CSV report.
