To get started, go to Business Rules > Rules.
Add or manage a business rule
To add a new business rule, select the plus (+) button.
Or, to edit an existing business rule, select its wrench button.
In either case, you're taken to the business rule configuration screen:
This screen is split into the following sections:
- Rule Name
The name of the rule you're configuring. Select the rule name to edit it.
Here, you can add or remove categories for this business rule. Categories allow you to filter which rules are visible on the business rules overview screen, using the filter button. For example, you might want to categorize your business rules by department or function. This is particularly useful if you have a large number of business rules. Note that when you filter by multiple categories, the filter operates according to OR logic. You may filter by up to 20 categories at a time, and category name length is limited to 100 characters.
- Rule State
Rules can be in a Draft or Published state. When you select the Save button, the rule is saved in a Draft state. A rule only enters a Published state when you select the Save & Publish button. Only Published rules are applied during evaluation and enforcement.
A business rule's condition may contain one or more filters. Filters allow you to limit the Persons to whom the business rule will apply. By default, a rule's condition only contains one filter, for an active employment contract. You may change or add filters as you see fit, such as selecting members of a certain department. Learn more about configuring conditions here. Note that filters on business rule conditions are unrelated to the filter button on the Business Rules > Rules screen.
A list of all Persons records that qualify based on the filters listed under the Condition section. This is useful to check that the rule you're creating will be applied to the correct Persons.
The entitlements which will be granted by this business rule. An entitlement is something that can be both granted and revoked, such as an account, access to that account, or membership to a group. The types of entitlements available are determined by your connected target systems.
When you're finished configuring your rule, select the Save button to save it in the Draft state. Or, to save the rule in the Published state for use during evaluation and enforcement, select the Save & Publish button. A dialog box summarizes the pending changes. It shows how many Persons are currently in the rule's scope, how many will be added and removed, and what the new net total will be. It also shows the same information for entitlements.
Confirm rule publication by selecting the green Save & Publish button.
Delete a business rule
To delete a business rule, select its trashcan button.
You are given two options: Delete and revoke, or Delete and keep unmanaged:
Select one to confirm.
Note that if you select Delete and revoke, the entitlements will remain in place until the next enforcement.
