Intro
Hello and welcome to this HelloID Provisioning product release video for March 2020.
HelloID Provisioning is an 100% born in the cloud, easy the configure and to maintain user provisioning solution. It helps organisations to fully automate the user life cycle management in the network by connecting the HR or SIS as a source system. Every change in this source is detected and processed into the network. No worries anymore about stale user accounts, accumulation of licences or access rights, manual user management or compliancy issues.
In this video I first I’d like to start with a PowerPoint presentation and then demo you the new functionalities.
Presentation
So we have six new options in the Provisioning engine. The first one is that you can now add additional fields on a target system so perhaps you want to set extension attributes in your active directory environment, now you can add those fields.
We also now have the option to have dynamic OU determination, we used to have three fixed OU’s: On create, On disable and On enable. Now you can set any OU and make it as complex as you like. I will show you in the demo what news options are available.
We now also have the option to dynamically extend the schema of the HelloID vault. You can add fields to a person and to the person contract. It will give you the option to retrieve more information from HR, put it into the HelloID vault and pass it onto a target system.
We have changed the UI of the business rules overview, instead of tiles we now have a grid overview, which gives you more flexibility to manage the business rules. We also have more password options to manage Active Directory accounts and we have added the disable/create of exchange mailbox.
Extend attributes in the vault
The first new option I’d like to show you is that you can now extend attributes in the vault. In the source system we have added a new option, custom fields, which lets us add new fields to the HelloID ID vault. I can make multiple modifications, add any field I like, and now I’ve created a new field ‘favourite pizza toppings’. If you search for a user you can also see that the information is also available right here, I can go to the source system and change the mapping to those fields, so I have an option here, to the favourite pizza topping, and I made a fixed value so it comes available everywhere in HelloID. In the target systems mapping, person overview but also in the business rules.
So I can also see this on the target system, and, of course, from the vault to the target system I have again this new option. We also have a new option that you can update any Active Directory field you want. Suppose I want to manage extension 15 in the Active Directory from HelloID. I want to update it with the pizza topping, I have the option to do this right here. So now I can say ‘Okay, I want to do this with the pizza topping’, I filled in the pizza topping as a new extended attribute in the vault, mapping it from the HR system and now filling it into the new extended attribute into the Active Directory.
Powerfull dynamic OU management
Another new option I’d like to show you is the powerfull dynamic OU management. So the OU’s are still in the Administration tab but now we have a new option. We still have the fixed option, which was already available, but now we also have the Powershell option and I’m going to use this option now for ‘on enable’, so if the account is going to be enabled it will be put in the OU, for example with the primary department.
So I’ll go here and I want to make an extension, so I can now already see the result, it will be put in ‘domain local users’. So suppose I want to put the department in here, I extend the Powershell, so I’m retrieving the primary department from the contract from the HelloID vault, put it into the department variable, and use this here in the canonical name.
If I refresh the preview you can now see that in the organisation is also the ICT department for this particular user. Again a powerful option, now you can make any OU structure you like, based on the information from the vault.
Business rule overview
We also have changed the business rule overview. They used to be tiles, now it’s a grid, and here you can also see the status per different rule. The rules work exactly the same, we have not changed that, it’s only the look and feel that has been changed.
New password options
We also have new password options, you can find them in the target system, for example the active directory but also for Azure AD and here in the account setting you have more password management fields available so you can set that on which one you like.
Exchange integration
We also have more exchange integration, that’s the last item on the list. Here you can specify how you want to connect with exchange and you have multiple authentication methods available.
